Pre-Call Checklist: What to Ask a Pond Contractor (and What Most People Forget)
The first call with a pond contractor sets the tone for the entire project. Here is what most homeowners ask, what they should be asking instead, and how to prepare so the call is actually useful.
After 25+ years of consultations across the Greater Philadelphia area, we can tell within the first ten minutes of a call whether a homeowner is going to end up with a pond they love or a pond they regret. The difference is almost never the budget. It is the questions they ask up front.
Most pre-call questions are about cost and timeline. Those questions matter, but they are not the ones that protect you from hiring the wrong contractor. Below is the list of questions homeowners typically ask, the better questions to add to your call, and a short pre-call checklist so you walk in prepared.
The questions most homeowners ask
None of these are wrong. They are just incomplete. Use them as the warm-up, then move into the better questions further down.
How much does a pond cost?
It is the right starting question, but the honest answer depends on size, site, and scope. Most ecosystem ponds in the Greater Philadelphia area land between $10,000 and $35,000, with luxury estate builds running $60,000 and up. Ask for a tier breakdown, not just a single number.
How long does it take to build?
A standard ecosystem pond is typically a 5 to 10 day build once we are on site. Larger streams, hardscape integration, and weather can extend that. Ask about the full timeline from contract signing to fish stocking, not just shovel days.
Do you have pictures of past projects?
Yes, look at the portfolio. But also ask to see projects that are 5+ years old. Anyone can show a pond in the first 30 days. The real test is what it looks like after several seasons.
Are you insured?
Always ask, and ask to see the certificate. Liability and workers' compensation are non-negotiable.
How should payment be structured?
Expect a clear schedule tied to project milestones, with a deposit up front and the balance due as work is completed. Be wary of any contractor asking for the full amount before work begins.
The questions you should be asking (but probably aren't)
These are the questions that separate a good contractor from a great one. Ask them all on the first call. The answers — and the willingness to answer — tell you almost everything you need to know.
1.Do you specialize in ponds, or do you also do general landscaping?
Why it matters: Pond construction is its own discipline. Hydraulics, biology, fish health, leak diagnosis, and winterization are not skills a general landscaper picks up doing two jobs a year. Specialists build ponds that last decades.
2.Will the same crew lead my project from design through final walkthrough?
Why it matters: On many builds, the salesperson disappears after the deposit and the install crew has never met you. Continuity matters. Ask who your point of contact is on day 1, day 14, and day 365.
3.How do you handle ecosystem balance versus chemical treatment?
Why it matters: If the answer is 'we just dose it' you are talking to a maintenance company, not a pond builder. A real ecosystem pond is balanced through filtration, plants, aeration, and fish load — chemicals are a last resort, not a strategy.
4.What is your written workmanship warranty, separate from the manufacturer warranty on equipment?
Why it matters: Most contractors point to the pump and liner warranties. That covers the parts. You also want a written workmanship warranty on the build itself — leaks, settling, plumbing, rockwork. Get it in the contract.
5.Will you handle township permits, HOA requirements, and stormwater compliance?
Why it matters: Permits and HOA approvals can stall a project for weeks if no one is driving them. Ask whether the contractor handles this or whether it lands on you.
6.What is your maintenance program, and what does year 2 actually cost?
Why it matters: Companies that build but do not maintain are not invested in the long-term outcome. A real maintenance program — spring cleanouts, in-season service, fall netting, winterization — is a strong signal that the contractor stands behind the build.
7.Can I talk to three clients whose ponds are 5+ years old?
Why it matters: Recent reviews tell you the sales experience was good. Long-term references tell you the pond is still beautiful, leak-free, and easy to live with. Ask for the older references specifically.
8.What is your written process when something goes wrong mid-build?
Why it matters: Every job hits a snag. Rocks shift, weather turns, an HOA throws a curveball. The question is not whether problems happen, it is how the contractor handles them. A clear process is a green flag.
9.Will my proposal itemize materials, labor, and add-ons separately?
Why it matters: A single lump-sum number is easy to manipulate. An itemized proposal lets you compare quotes apples-to-apples and lets you make trade-offs (more boulders, less lighting, etc.) without renegotiating the whole project.
10.How long has the company been in business under the same ownership?
Why it matters: Pond contractors who close, rebrand, and reopen are a real pattern. Look for established ownership and a stable team. We have been building under the same name in Greater Philadelphia since 2000.
Before the call: a 5-minute prep checklist
A great consultation is a two-way conversation. The more prepared you are, the more useful the call is for both sides. Spend five minutes on this list before we (or anyone else) shows up.
- Confirm appointment time, address, and gate or driveway access
- Have your rough budget range in mind (not committed, just anchored)
- Know your decision timeline and who else is part of the decision
- Photos or a quick sketch of the area you are picturing
- List of must-haves (fish, waterfall sound, lighting, patio nearby)
- List of constraints (HOA, kids, pets, slope, utility lines you know of)
- The 10 better questions from this post, printed or saved on your phone
